Job Summary:

The Project Coordinator will support the wider group, through the delivery of specialist services, programs, and projects. The Project coordinator will operate globally and is currently responsible for five core programs or services; the Global Integration, Communications and Learning, Digital Transformation, Quality Assurance and Physical Security Vulnerability Assessments. GPS may add or remove programs and services from its portfolio over time and remains a highly agile and adaptive function.

Essential Functions:

  • Represent Pinkerton core values of integrity, vigilance, and excellence.
  • Leadership weekly report for all priority projects in AdaptiveWorks (AW)
  • Weekly status reminders, via email, to all impacted project managers listed under priority projects
  • Accurate and timely status inputs, twice a month, in AW to include updated completion dates, issues, risks, and status comments.
  • Monthly Business Review (MBR) inputs to Global Integration leader regarding metrics on program performance, appendix items for priority projects and roadmap deliverables.
  • Functional leader updates and reports on all Roadmap deliverables each week to be sent out to functional & regional leaders.
  • Maintain action item log from Global Integration team weekly meetings to include status on all actions and updates to completion dates.
  • Oversee and mange Global Signage program.
  • Gathering weekly project status from functional/team project managers an ensuring input in AP prior to weekly reports.
  • Setting up meetings with critical stakeholders and leaders regarding Global Integration updates, or project needs.
  • Resolving customer issues with project management tools and soliciting additional help as needed.
  • Update templates and processes to reflect current statement of work for Global Integration.
  • Gathering weekly project status from functional/team project managers an ensuring input in AP prior to weekly reports.
  • Setting up meetings with critical stakeholders and leaders regarding Global Integration updates, or project needs.
  • Resolving customer issues with project management tools and soliciting additional help as needed.
  • Update templates and processes to reflect current statement of work for Global Integration.
  • Sending out/monitoring weekly reports to functional & regional leaders, teams, and project managers.
  • Monitoring priority project progress by quarter
  • Monitoring Roadmap deliverables by quarter
  • Creating as-needed metrics to support Global Integration projects
  • Manage project management tools and reports
  • Deliver Leadership reports, Functional and team reports per schedule and operating rhythm via email compunctions.
  • Develop draft communications as needed for Global Integration for Acommunications bulletins, updates to processes, upcoming trainings, and/or changes & updates to reporting.
  • Manage automated weekly emails out of AW to ensure accurate distribution lists and messaging, make updates to emails as needed to reflect current status needs.
  • All other duties, as assigned.

Education, Experience, and Certifications:

Bachelor degree, Min 4 years related administrative or coordination role in professional capacity, Previous experience working with executive leadership, Understanding of Agile and traditional project management methodologies, Superior attention to detail and ability to meet tight deadlines, Must be able to clearly and concisely articulate and receive direction whether verbal, written, or visual, Ability to work flexible hours (including ‘after-hours’) to meet demands of globally-dispersed team, English proficiency (both written and verbal). Higher levels require ability to communicate across an increasing diversity of locales, roles, and functions (e.g., Legal, HR, PR, Finance (including FinOps), external industry groups, key stakeholders / customers, GREF Stakeholders, external vendor partners, Value Added Resellers - VARs).
